Important Information on Data Correction from the CDE

September 26, 2013 Below is a portion of a letter from the California Department of Education (CDE) that all Testing and/or Accountability Coordinators designated with the state should have received at your site. It directs you to the data correction process for this year's School Quality Snapshots from CDE and references a separate communication that went out on August 2 regarding demographic corrections for CALPADS data.

Dear Accountability Coordinators,

It is critical that LEAs review the data carefully and contact the Evaluation, Research and Analysis Unit (ERAU) immediately about any significant data errors by sending an e-mail to with "Data Error" in the subject line. (Note: Demographic data and program participation were extracted from the California Longitudinal Pupil Achievement Data System -CALPADS).

Please include the following information in your e-mail to the ERAU:

  • The name of your LEA
  • The name of the school
  • The school county-district-school (CDS) code
  • Identify the data problem (e.g., erroneous English learner data; incorrect number of valid scores or students included in the reports)

Correcting Student Data

LEAs have the option, at no charge, to correct erroneous student data. A letter dated August 2, 2013, from Deborah V.H. Sigman, Deputy Superintendent, District, School and Innovation Branch, outlined the new process for 2013 demographic and program data corrections. A copy of this letter, CALPADS Update FLASH - Issue #79, may be found here on the CDE CALPADS Web page. Demographic and program participation data corrections should be made in the CALPADS Operational Data Store. Data corrections to fields outside of demographic and program participation data should be made through Educational Testing Service (ETS).
